Official Transcript Requests

(Please click on the questions and headings below for more information.)

What is an official transcript?
An official transcript is a complete academic record bearing the University seal and signature of the University Registrar. An official transcript includes all courses followed at Concordia (with the exception of courses taken at the School of Extended Learning) and is therefore issued in its entirety.

Important Recent Changes to the Official Transcript
Changes to the official transcript have recently been implemented. These changes are based on the recommendations put forward by the Transcript Review Committee and approved by Senate in May 2011. For the full details of these changes please see:
Changes to the Official Transcript

How do I request official transcripts?

Important reminder:

Transcripts will not be released if you have an overdue balance on
your student account. You can submit your Transcript of Academic Record Request form (PDF), check your student account balance on the MyConcordia student portal, and pay your outstanding balance if necessary. Your transcript will be released on the first business day after your payment appears on your student account.

If you are a student in a Master’s or PhD program, transcripts will be released under special circumstances outlined on the Tuition & fees webpage.

Requests for official transcript may be made in person, by mail or fax. Please complete and print out the Transcript of Academic Record Request form (PDF). Please remember to sign the form when submitting it in order to avoid delays in processing your request. A separate form must be filled out for each institution that you would like the transcripts sent to.

Your signature is required to release a transcript therefore requests CANNOT be made via e-mail or telephone.

Official transcripts can be sent directly to the institution requiring them or can be placed in a sealed envelope and either mailed to, or picked up by, the student. Note: Transcripts destined to most Quebec universities are normally sent electronically.

In Person:
Birks Student Service Centre
Room LB-185
1400 De Maisonneuve Blvd. West.

Payment can be made by money order, VISA, MasterCard, or Debit Card. Should a student require someone else to make the request on their behalf, written authorization, signed by the student, must be provided.

By Mail:
Concordia University

By Fax:
514-848-2616

Include payment by Visa or MasterCard (credit card* number and expiry date required).

* Important – Please ensure that credit card numbers are legible and complete. The credit card expiry date and the bearer's signature are mandatory.

The Transcript Department does not confirm receipt of a request. Please contact our office directly by phone or e-mail for verification that a request has been received.

What is the fee for official transcripts?
The fee for official transcripts is $7.00 per sealed envelope with a maximum of 3 copies per envelope (whether in a sealed envelope for pick-up or mailed directly). If required, at the time of requesting an official transcript, a student copy is available for an additional $3.00. All fees include regular postage and taxes. PAYMENT MUST BE PROVIDED WITH THE REQUEST.

If multiple copies are to be placed individually in sealed envelopes (i.e one copy per sealed envelope as opposed to multiple copies in the same sealed envelope), please fill out one form indicating the number of copies and note under "Special Instructions" to seal them individually. The cost for each envelope is $7.00.

When will my official transcripts be available?
Transcripts can take up to 5 working days to be processed, somewhat longer for pre-1980 records and during peak periods (for example, before the admission application deadline). Students are responsible for ensuring that their requests are submitted well in advance of their deadline dates.

Mailed transcripts:
Official transcripts are normally sent by regular mail. Courier service can be provided for an additional fee, depending on the destination. Please contact the Transcript Department for courier fees.

IMPORTANT: Transcripts destined to other universities in Quebec are normally sent electronically.

Please Note:
The Transcript Department cannot be held responsible for lost or delayed mail. Please do not send duplicate requests as all requests received are treated as separate and therefore, will be charged for.

Official transcripts that are prepared in a sealed envelope and mailed to the student (instead of directly to the institution) are sent in a larger brown envelope which can be opened by the student.

In person pick-up of transcripts:
Contact the Transcripts office to confirm that the transcript is ready or visit the Birks Student Service Centre after the five-day processing time (unless otherwise specified).

Should a student require that someone else pick up the requested official transcript on their behalf, written authorization from the student is mandatory.

Please Note:
Official transcripts prepared for pick-up are kept for one year only. After such time, a new request will have to be made. The Transcript Department does not confirm when the transcripts are ready for pick-up.
